Things To Remember Before Submitting Your Risk Management Plan

    • Certification Letter - To avoid receiving an Error notice for an incomplete RMP you must include a certification letter with your RMP submission for each facility that you are reporting for. The proper format of the certification letter can be found from the first screen of RMP*Submit (called the "Main Menu"). Click on "Tools", then click on "Edit Certification Letters". Select the certification letter template based on the program level of the process(es) you are reporting. Cut and paste this narrative into your word processor to edit. Print the certification letter and have the owner/operator sign. The certification statement submitted must bear the original signature of the person making the certification. An "original" signature means one written by the signer in ink. Photocopied, faxed or otherwise duplicated signatures are not originals. Be sure to include this signed copy with your RMP submission.
    • Damaged Diskettes - Avoid any damage to your RMP disk in the mail by using cardboard disk mailers. By using the padded disk mailers, you can ensure that the RMP Reporting Center will receive your RMP in good condition. This will prevent you from having to re-submit RMP's due to damaged disks.
    • Executive Summary - Make sure your Executive Summary is in ASCII DOS Text format. If your Executive Summary is too long to fit in the text box (more than 32 KB), you will need to save it as a text file and identify the name of the text file in RMP*Submit. If you developed your Executive Summary in Word, Word Perfect, or another word processing program, you MUST SAVE THE FILE IN ASCII TEXT. To save in ASCII: choose "SAVE AS..." and choose ASCII DOS Text, or Text (MS-DOS) format as the File Type. Your best bet is to enter it into the text box within RMP*Submit - as long as it will fit - so that no converting will be necessary. You can do this by "cutting and pasting" from your word processor. Also make sure that the file name in the RMP and the actual name of the file match exactly, or there will be an error. (Revised July 28, 1999)
    • If you submit graphics, make sure the file name in the scenario and the actual name of the file match exactly. Make sure they are identified in the RMP with a specific worst case or alternative release scenario and that they are actually stored on the diskette being submitted. (Revised July 28, 1999)
    • If you submit in paper, be sure to use the official form. If you don't use the official form, your RMP will be unable to be processed.
    • If you consider any of the information you are required to report to be confidential business information (CBI), please read this.

Q: Is RMP*Comp software Y2K compliant?

A: Yes, RMP*Comp is Year 2000 compliant (it does not use dates). For more information, see the Frequently Asked Questions on RMP*Comp.

Q: When viewing the User Manual and /or Appendices, I see either blank pages or unreadable text & symbols. Why is this problem occurring?

A: The RMP*Submit User Manual and Appendices must be viewed using version 3.02 or higher of the Adobe Acrobat Reader. More information on PDF files can be found on the PDF information page.

Q: Why can't I enter letters (alpha characters) in Section 1.2 - Facility Identifier?

A: The Facility Identifier will be assigned by the RMP Reporting Center for all "first-time" RMP submissions, when RMPs are processed. The Facility Identifier is a 12-digit number, and will not accept alpha characters. First time submitters must leave this field blank. You will be informed of your assigned Facility Identification number in your notification letter that tells you the status of your RMP.

Q: Can the RMP*Submit software be shared on a LAN (Local Area Network)?

A: No. RMP*Submit (when installed) is not a multi-user application; therefore the information cannot be shared by multiple workstations on a Local Area Network.

Q: When the RMP*Submit application is open I cannot see the entire form. Why is the window cut-off?

A: A cut-off screen in RMP*Submit is usually caused by a conflict between the RMP*Submit application and the display configuration of your PC. The recommended display settings for RMP*Submit are "800 x 600 pixels" for the "Desktop Area" and "Small Fonts" for the "Font Size". To change these settings:

    1. Click on the "Start" button in the lower left corner of your PC.
    2. Click on "Settings"
    3. Click on "Control Panel"
    4. Click on "Display"
    5. Click on "Settings"
    6. Make sure the Desktop Area is set to "800 x 600 pixels"
    7. Make sure the Font size is "Small Fonts"

*In Windows 95, "Font Settings" for most users are set for "Large Fonts", which can cause the screen to cut-off vital fields in the RMP*Submit application. Changing the font setting to "Small Fonts" will prevent the screen from cutting off.

Q: How do I save my Risk Management Plan to disk?

A: To save your RMP to disk:

    1. Open the RMP*Submit application. Click the "Data Entry" button on the RMP*Submit introductory screen.
    2. Highlight your Risk Management Plan. Click the "Submit" button, located on the bottom row of the screen.
    3. Click "Continue" at the "Submission Type"screen. Select "Yes" to create a text (.txt) file.
    4. Select the correct drive location where your disk is placed (A:\drive, B:\drive, etc.).

Your RMP submission will be saved on your disk as an ASCII text file (.txt).

Q: How do I add an Executive Summary attachment to my submission?

A: To add an Executive Summary attachment to your submission:

    1. First, create your Executive Summary file and save it as an ASCII text file by choosing "File" -> "Save As," and choosing ASCII DOS Text as the "file type."
    2. Open the RMP*Submit application.
    3. Open the specified Risk Management Plan. Enter the "Executive Summary" section of your plan.
    4. Click the "Three dot" button (Attachment button) in the lower left hand side of the screen. Upon clicking this button you will be introduced to a "Select File" screen.
    5. Put your submission diskette into the correct drive location(A:\, B:\, etc.).. Select the path or directory where your ASCII file is located. Click "OK". Now the file is copied to your submission diskette and will be included with your RMP.

*Note: You can use various word processing applications such as Word, Wordpad, and WordPerfect to type your Executive Summary. However, the file must be saved as an ASCII text (.txt) file. Otherwise, your RMP may be incomplete. RMP*Submit no longer allows you to attach an Executive Summary that is not in ASCII text format.

Q: Are there any size constraints for a graphics file?

A: The only constraint for your graphics file is that it has to fit on a diskette. The maximum file size for a diskette is 1.44 megabytes.
