Stage 6, Step 2: Entering Submit Information

Completing the 2-Submit page is the second step in completing an Inspector Signoff.

Perform the following steps to complete the Submit page of Inspector Signoff:

1.

2.   

If user selects "No Action" option for ‘Type of Action Against RE’ field in Sign Off tab page and is rescinding the case, go to Steps 4-8

3.   

If user selects "Administrative Action" option for ‘Type of Action Against RE’ field in Sign Off tab page and is NOT rescinding the case, go to Steps 9-19

4.

5.   

Click OK to confirm rescind when the message "Are you sure you want to Rescind this record?" is displayed.

6.   

A message is displayed after the self-disclosure is rescinded successfully.

"Inspector Signoff Information Rescinded successfully and Email will be sent out to all responsible parties. Please remember that you have 10 days grace period to reopen this self Disclosure (SD) and do any necessary corrections. The SD cannot be reopened after 10 days. To reopen the SD, click on the "Change SDstatus" link available on the left side and proceed according to the notes available on that page.

NOTE: During the 10 day grace period, a record "closed" in VDRP will remain "open" in EIS. Ten days following record closure in VDRP, the EIS will be updated to reflect the closure date as recorded in VDRP. Thus, at the end of 10 days, the VDRP and EIS records will be in agreement and any, "time to process" calculations will be accurate. However, during the 10 day, "grace period" the records will be in disagreement. If a case is reopened and then closed, the VDRP record will reflect the final closure date and EIS will be updated 10 days later".

 

7.   

Rescinded self-disclosures are accessible from Rejected tab in self-disclosure list screen.

8.   

Rescinding self-disclosures will immediately close the case without any action. Refer to "Wait Period of Closed Case within VDRP System and EIS System"

9.   

If NOT rescinding, user can generate a letter of correction (LOC) or Warning Notice (WN) from Submit tab page depending on option selected from "Sanction Applied to RE" drop down in Sign Off tab page

10.   

Click ‘Generate Letter of Correction’ or ‘Generate Warning Notice’ button.

11.   

The Attachments table displays showing the name of the generated letter, along with a View and a Delete link.

The generated letter is opened in a MS Word window for editing.

12.   

Make any necessary changes to the generated letter from MS Word.

13.   

When done editing, be sure to save the updated document to your computer for later retrieval. The file should be saved as an MS Word (*.doc) document type.

Make sure you make note of where you saved this document and the name of the document (either LetterofCorrection.doc or WarningLetter.doc), as you will need it to upload the file as described in the next step.

14.   

A "Letter of Correction/Warning Notice" or "2150-Form" or "Other documents" can be uploaded and attached to the self-disclosure.

15.   

Upload a signed letter from FAA Office Manager supporting the Inspector SignOff stage as a means for complying with VDRP requirements, in accordance with FAA Notice N8900.39

16.   

User can upload any attachments for "Other documents" option to support Inspector SignOff and can view the uploaded fiels in self disclosure details page after Stage 6 is submitted.

17.   

Click images\ebx_390757308.gif after selecting file type that is not supported

The message, "Please check the file type (only doc, pdf, gif, jpg, jpeg, rtf, txt are allowed and size (max 4MB)?" displays.

18.   

Clickimages\ebx_713298524.gif to complete the Inspector Signoff.

The message, "Are you sure you want to submit this record?" displays

19.   

Click OK to complete the submission when the message,

 

"Inspector Signoff Information Submitted successfully and Email will be sent out to all responsible parties

You have completed the final stage in the Self-Disclosure submission process. Closed self-disclosures are accessible from the Closed tab of the Self Disclosure List table.
