The U.S. Embassy in New Delhi is seeking an individual for the position of Administrative Clerk in the Public Affairs Section.

SALARY:       EFM/NOR: Grade: FP-9*

              Ordinarily Resident: Grade: FSN-5*

BASIC FUNCTION OF POSITION

 

·              Serve as secretary to the Assistant Cultural Affairs Officer (ACAO) for North India Programs.

·              Perform a comprehensive range of secretarial duties including typing correspondence, maintaining schedules, travel orders, filing, etc.

·              Assist the ACAO and Program Managers by carrying out any tasks necessary for the successful completion of any program.

·              Prepare and/or compile guest lists and invitations for all programs and representational functions.  Follow-up by telephone and fax for RSVPs.

·              Make travel arrangements with the Travel Office for programs.

·              Photocopy and assemble background materials, such as delegate kits, for distribution during the programs.

·              Conduct Internet searches for information needed for specific programs.

·              Assist with design and preparation of invitations, banners, posters and other graphics for use in programs.

·              Assist visiting American experts with any ad-hoc needs.

·              Coordinate logistics and technical support with Audio-Visual section and building maintenance office in preparing Digital Video Conferences (DVCs), panel discussions, seminars, concerts, and workshops held at the American Center.

·              Coordinate with different sections of the Embassy for arrangements such as venue, seating, audio-visual support, placement of poster shows, and greeting and registration of guests during programs.

·              Perform general office duties such as filing documents, making photocopies, collating and assembling materials etc.

·              Assist Senior Program Officer’s secretary when workload demands and serve as back-up in her absence.

·              Take digital photos during programs and download photos for use in highlights reporting.

·              Travel out of town to support programs when necessary.

 

 

QUALIFICATIONS REQUIRED

 

1.        Bachelor’s degree.

2.        Minimum two years in secretarial and/or clerical work.

3.        Level III (Good working knowledge) in English and in Hindi.

4.        The ability to use personal computer databases and packages, software packages such as MS-Word, EXCEL, ACCESS, Power Point, e-mail, and CD-ROM applications.

ADDITIONAL SELECTION CRITERIA

 

1.        Management will consider nepotism/conflict of interest, budget, and residency status in determining successful candidacy. 

2.        Current employees serving a probationary period are not eligible to apply.

3.        Eligible Family Members who currently hold a PIT/FMA appointment are ineligible to apply for advertised positions within the first 90 calendar days of that appointment.

DEFINITIONS

 

1.        EFM:  US Citizen spouse or US citizen child as referred to in 6 FAM 111.3, paragraph R, (1) who is at least age 18, and who, in either case, is on the travel orders of a US citizen Foreign or Civil service employee or military service member permanently assigned to or stationed at a US Foreign Service post or establishment abroad and under Chief of Mission authority.

 

2.        Member of Household (MOH):  Foreign born spouses, dependent children, unmarried partners of the same and opposite sex, parents, other relatives or adult children declared to the Chief of Mission who fall outside the Department’s current legal and statutory definition of EFM.

 

3.        Ordinarily Resident (OR):  A citizen of the host country or a citizen of another country who has shifted the main residency focus to the host country and has the required work and/or residency permit for employment in country.

 

4.        Not-Ordinarily Resident (NOR):  Typically NORs are US citizen EFMs and family members of FS, GS, and Military Personnel who are on the travel orders and under Chief of Mission authority, or other personnel having diplomatic privileges and immunities.
