About the exhibit program

Loaner Program Exhibit Timeline:

6 months-1 year before event:

  • Order Exhibitors Prospectus from conference organizer.
  • Reserve exhibit floor space for upcoming conference using forms in Exhibitors Prospectus.
  • Reserve hotel room.

2-3 months before event:

  • Receive "Show Services Kit" or logistical information from event coordinator.
  • Order onsite labor for assembly and dismantle (if applicable).
  • Order show services (i.e., electrical and Internet services, drayage/material handling, floral arrangements, furniture, and food services) in time to meet advance order price discount deadlines listed in the Show Services Kit. This deadline is typically 20-30 days prior to the exhibit show date (if applicable).
  • Reserve NCI Loaner Portable Exhibit online at http://exhibits.cancer.gov. (Note: Be sure to provide NCI Exhibit Program staff with the proper delivery and return pick-up dates as listed in the Show Services Kit or received from the event coordinator).
  • Reserve advertising space for conference-related publications and/or purchase conference mailing lists (if applicable).
  • Begin advertising design process for conference publications and/or promotional items for mailings (if applicable).
  • Book air travel.
  • Order publications from NCI's material distribution center to be sent to exhibit venue. For publication ordering information, visit: http://oc.nci.nih.gov/planning/cisnci.html.

1 month before event:

  • Order exhibit staff badges (Note: Advance application information is available in the Show Services Kit or from the event coordinator. Onsite badge registration is available at no additional cost, provided you stay within the maximum number of badges allotted for the booth registration fee).
  • Submit final advertising materials to conference publications and/or finalize and print promotional items for mailings (if applicable).

2-3 weeks before event:

  • Create and confirm booth staffing schedule (if applicable).
  • Mail joint promotional items (e.g., postcards, flyers, etc.) to conference attendees (if applicable).

1 week before event:

  • Confirm shipment arrival date of exhibit booth, publications, and other materials-make sure all materials are scheduled to arrive on the correct delivery date.

1-2 days before event:

  • Pick up exhibitor's badge at Exhibitor Registration desk.
  • Set up booth and display literature.

End of conference:

  • Dismantle booth
  • Re-pack and prepare your materials for return shipment.
  • Complete "bill of lading" using the return shipment information provided in the exhibit cases.
  • Have materials packed and ready for return shipment by designated carrier pick-up time.
